Buckingham Futures is seeking a Recruitment Office Administrator/ HR Compliance Assistant to join its growing team!

 

Purpose of role

Support the company as a whole coordinating the organisation’s administration systems and general workflow. Supervise an administrative team and ensure daily administrative tasks are completed seamlessly ensuring a first-class experience is delivered to our candidates and clients.

 

General Responsibilities

– Plan and coordinate administrative procedures and systems and devise ways to streamline processes

– Supervise and provide daily support to the Administration Team

– Company Office Manager liaising with company stakeholders to ensure a smooth day-to-day running of the business

– Assist the team with completing Candidate Registration

– Assist with preparing and submitting candidate profiles to job roles

– Ensure timesheets on behalf of candidates are submitted in a timely manner and ensure Timesheet Log/Save Trees is kept up to date

– Advertise job roles on the company website and EHN

– Onboard candidates as part of Pre Employment Checks by acquiring mandatory compliance documentation

– Prepare contracts of employment – internal and external – Ensure spreadsheets and CRM are recorded accurately and kept up to date

– Ensure tasks are completed in a timely manner using the task management system – Asana

– Assist with any ad-hoc projects as and when required

– Handle all incoming calls in a professional and efficient manner ensuring that all phones are answered and messages taken and passed on as necessary

– Ensure that all aspects of data protection and confidentiality are maintained at all times

– Ensure emails are responded to in a timely manner

– Prepare and send service announcement correspondence to candidates and clients

– Raise invoices and chase for payment if required

– Assist with the company’s VAT returns

– Prepare and return companies’ HMRC report

– Prepare company reports

– Keep abreast with compliance requirements and changes

– Confidant to The Director to assist with company matters

– Liaise with supply chains in relation to company enrolment

– Complete and return company documentation

– Complete and return company audits

– Conduct umbrella company screening

– Conduct interviews to support internal team growth

 

Behaviours and skills required:

– Administration or secretarial experience

– Extremely organised, able to multi-task with a fantastic memory and good attention to detail

– Self starter, being after to understand and configure new processes and Systems

– Excellent problem solver

– Exceptional communication skills (well spoken, well pronounced and articulate) – Ability to meet and exceed all productivity targets/deadlines, thriving in a pressurised fast paced environment

– Dedication and commitment with a desire to succeed

– Innovative – able to offer idea’s of improvement

– IT literate – MS Word, Excel, PowerPoint

– The ability to problem solve and take accountability, remaining calm under pressure

– IT literate and proficient in the use of the Internet, Microsoft Word and Excel).
